Data Protection Regulation

CHAPTER 1

FOREWORD

The present document is aimed at regulating and specifying the regular conduct of the Association's activity. All Associates are required to respect it, in compliance with the Association's Statute and Regulation. Full compliance with this Regulation is part of the respect and transparency of the associative activities.

In addition to what provided by the law, by the Statute and by the Regulation of the Association, each member of the Association is prohibited from divulging the content of the planning, the strategies and the future prospects of this document to third parties, as well as replicating and establishing identical or similar activities outside the Association.

The members of the Association must also verify the correct observance of this Regulation by all the Associates and/or former members of the Association. Whenever an activity that has been already carried out by the Association or that has been conceived within the Association is replicated outside it or is individually set up outside the Association for the achievement of personal purposes and objectives, Mondo Internazionale reserves the right to take all the necessary measures to ensure the compliance with this Regulation.

The classification of confidentiality has been divided into three related bands:

(A) High level – all the Associates who work with highly confidential and risky documents, such as documents relating to the Steering Committee, the Presidency, the Strategic Planning and the Treasury. They all must respect the Regulation and the Statute of the Association.

(B) Medium level – all the Associates who must comply with the Regulation and the Statute of the Association, but who do not have access to all the highly confidential documents;

(C) Low level – all the Associates who must comply with the Regulation and the Statute of the Association.

CHAPTER 2

Article 1

PRESIDENT

In view of the provisions of Article 1 of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of the President activities is type (A) - High.

The President has a High Category position:

a. Contacts with public and private bodies including, in particular, institutions, international organisations, supporters of the Association and volunteers, being the one who carries out legal representation activities, protecting the image of the Association;

b. Contacts with all the Bodies indicated in paragraph 1, article 1, a list to be understood as illustrative but not exhaustive, thanks to which the President may divulge Association material in compliance with the Articles of Association and the Single Regulation;

c. Contacts with all members of the Association. All problems of the members must be addressed to him/her so that he/she is in a position to intervene in a timely manner. If he is not in a position to intervene, he is to be considered as extraneous to the facts;

d. Acts autonomously but in constant contact with the entire Association and external bodies;

e. Is aware of all documentation regarding the personal data of the members, their situation and any problems deemed sensitive by the members themselves. In the latter case, together with the Vice-President, he may be the only one informed of the facts. He has the duty not to disclose personal data and/or confidences of the Associates to third parties outside the Steering Committee or to those directly concerned.

Article 2

VICE-PRESIDENT

In view of the provisions of Article 2 of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Vice-President activities is of the (A)-High type.

The Vice-President has a High Category position:

a. Direct contact with the Presidency, in particular, in case of replacement of the President;

b. Direct contacts with the Steering Committee with the aim of giving it balance and verifying the correct functioning of this body;

- contacts with all members of the Association to verify the correct performance of the Association's activities and to be able to intervene directly and promptly;

- contacts with public and private bodies including, in particular, institutions, international organisations, supporters of the Association and volunteers, being the one who carries out legal representation activities, protecting the Association's image;

c. Acts autonomously but in constant contact with the entire Association and external bodies;

d. Is aware of all documentation regarding the personal data of the members, their situation and any problems deemed sensitive by the members themselves. In the latter case, together President may be the only one informed of the facts. He has the duty not to disclose personal data and/or confidences of the Associates to third parties outside the Steering Committee or to those directly involved.

Article 2a

HONORARY VICE-PRESIDENT

In view of the provisions of art. 2a of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Honorary Vice-President activities is of the (A)-High type.

The Honorary Vice-President has a High Category position:

a. It enjoys all the rights and duties of Honorary membersand does not have the right to vote in the Presidentship and the Steering Committee of the Association itself in accordance with the Statute of Mondo Internazionale. It may take part in the meetings of the Steering Committee, in an exclusively consultative capacity, subject to invitation and/or authorisation by the Presidency;

b. It may represent the Association itself at public or private events if the President or Vice-President is unable to do so, or by proxy of the President of the Association. He or she must take care of the image of the Association Mondo Internazionale wherever he or she represents or discusses it privately and publicly, respecting the values and principles set out in its Articles of Association, Regulations and Code of Ethics.

Article 2b

POLICY ADVISOR

In view of the provisions of Article 2b of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Policy Advisor activities is of the (A)-High type.

The Policy Advisor has a High Category position:

a. It represents the figure in charge of supporting the Presidentship and the Steering Committee of the Association in defining and achieving interests towards stakeholders and bodies in the public and private sector.

b. It has the task of providing non-binding opinions and recommendations to the Presidency and the Steering Committee on relations, interests and communication strategies that are woven and developed towards bodies, steakeholders and partners of the Association and whenever deemed necessary to support internal decision-making processes.

c. The intervention is requested by written communication from the President, who formally delegates the Policy advisor to carry out research and investigation on a specific topic or activity. Any action or activity carried out by the Policy Advisor outside the official channels of the Association and not provided for by the guidelines provided by the President or the Steering Committee is considered extraneous to the personality and work of the Association Mondo Internazionale, therefore such action or activity cannot be attributed to the Association nor can its direct or indirect responsibility be acknowledged.

d. If deemed necessary by the Presidency, it may request, subject to the approval of the Steering Committee, access to confidential information (it is the sole responsibility of the policy advisor to protect the information to which it has access from outside or inside the Association).

e. It assumes full responsibility in the performance of the activities indicated and the burden of reparation towards the Association Mondo Internazionale in case of damage resulting from negligence and/or failure to perform its duties. It is liable civilly and criminally for any illegal behaviour or behaviour in violation of the internal statutory rules committed during the performance of its associative functions and outside of them.

f. It must have access, with the authorisation of the President , or on his behalf of the Vice-President , to all documents, software, computer and non computer programs in on admin mode, to the legal and/or operational headquarters of the Association and to any movable and immovable property of the Association for the performance of the Association's activities.

g. The activities envisaged for the Policy Advisor are:

• The elaboration of policy recommendations to support the activities of the Association Mondo Internazionale, officially approved by the Steering Committee, which provide for interaction and negotiation with external bodies or partners of strategic importance for the activities themselves;

• The drafting of opinions, recommendations and notes supporting the representative activities carried out by the Presidency, the Director of External Relations, the Head of External Affairs, the Honorary Vice-President, and members of the Scientific and Academic Committee and the Development Committee;

• The search for objective and substantiated sources and arguments in support of the recommendations provided;

• The research and definition of strategies for the development of the Association within the areas in which it operates; the search for references and contacts with public or private bodies with which to establish strategic partnerships to support the Association itself and the national and international expansion of Mondo Internazionale.

Article 3

SECRETARY GENERAL

In view of the provisions of Article 3 of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Secretary General activities is of type (A) - High.

The Secretary General has a High Category position:

a. Contacts with the Secretariat and the Steering Committee to which it provides scenarios on the future of the association and development strategies and to which it proposes the Annual and Three-Year Plan according to the strategy of the Business Plan and Planning Manager;

b. Contacts with public and private bodies including institutions, international organisations, supporters of the Association and volunteers;

c. Can access all association documents, the Bank Account and computer and non computer systems, with the exception of the server and domain;

d. Acts autonomously but in constant contact with the Presidency, the Steering Committee and the entire Secretariat.

Article 3a

DEPUTY SECRETARY GENERAL

In view of the provisions of Article 3a of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Deputy Secretary General activities is type (A) - High.

The Deputy Secretary General has a High Category position:

a. It has the task of supporting the Secretary General in the management of the Secretariat's activities and in carrying out the tasks indicated in chapter 1 art. 3 paragraph 4 of the Single Regulations;

b. It has access to the Association's documentation, IT tools and assets subject to authorisation from the President and Secretary General. With the same authorisation of the President , or the Vice-President , he has access to all documents, software, computer and non computer programs in admin mode; to the bank account, safe-deposit boxes; to the registered and/or operational headquarters of the Association and to any movable and immovable property for the performance of the Association's activities;

c. It assumes full responsibility in carrying out the activities indicated, to which it is liable both civilly and criminally. To this liability follows the burden of repair for damages resulting from negligence and/or default.

Article 3b

COORDINATOR FOR INTERNATIONAL ACTIVITIES

In view of the provisions of art. 3b of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Coordinator for International Activities activities is type (A) - High.

The Coordinator for international activities has a High Category position:

a. It has the fundamental task of coordinating the activities that the Association initiates with foreign offices affiliated to Mondo Internazionale and with foreign international partners. It operates exclusively on delegation of the Association's Steering Committee.

a. It may take part in the regular meetings of the International Committee of the Association; it may also provide non-binding opinions and recommendations regarding the coordination of activities. At the invitation of the Steering Committee, it may take part in meetings with members of foreign offices affiliated with Mondo Internazionale, with the power to provide guidance on the coordination of activities. At the invitation of the Steering Committee of the Association, it may take part in the meetings of the Board to support the definition of activities abroad.

b. It operates through the exclusive mandate of the Steering Committee to facilitate the activities that the Association carries out with foreign offices/partners. It works in coordination with the Secretary General to provide the necessary guidelines to the administration teams;

c. It supports the Secretary General or the Vice-Secretary General in the implementation of the guidelines of the Steering Committee;

d. It supports the Steering Committee in identifying the objectives of the activities;

e. It provides, together with the Secretary General, the necessary guidance to the administration teams to coordinate the work;

f. It supervises the work of the administrative and operational teams of the foreign offices;

g. It provides the implementation of innovative and sustainable working methods for proper cultural and social integration by foreign members;

h. It verifies the administrative and operational procedures of the members of the foreign offices;

i. It supports the Heads of Foreign Affairs of the individual geographical areas in the direction of the objectives;

j. It supports the Director for External Relations, or the Deputy Director for External Relations in maintaining relations with affiliated foreign offices.

k. It supports the Legal Advisor, or the Deputy Legal Advisor in the definition of the Association's international regulations;

l. It supports the Steering Committees of the individual foreign offices in the identification of the regulations, and the start of the planned activities;

m. It replaces the Secretary General and the Deputy Secretary General in the management of internal activities necessary for the proper performance of international activities.

Article 4

GENERAL MANAGER

In view of the provisions of Article 4 of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of the General Manager activities is of the (A)-High type.

The General Manager has a High Category position:

a. Contacts with the entire Association in order to be able to direct the Association's staff, work plans and budgets, the offices' activities and their organisation and administrative activities;

b. Contacts with external bodies for the planning of the Association's activities in national and international meetings and for the stipulation of agreements relating to individual projects with joint signature with the Secretary General;

c. Access, subject to authorisation by the Secretary General, to all personnel documents, software, computer and non computer programs in management mode, to the bank account, to the registered and/or operational headquarters of the Association and to any movable and immovable property of the Association for the performance of the Association's activities. Permanent permitted access is to all documents at the registered and/or operational headquarters concerning personnel management, bank account and computer and non computer systems, with the exception of the server and the domain;

d. Acts autonomously with the prior authorisation of the Secretary General and the Steering Committee.

Article 5

EDITORIAL DIRECTOR

In view of the provisions of Article 5 of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Editorial Director activities is of type (A) - High.

The Editorial Director has High Category position:

a. Contact with the entire Association based in Italy and abroad to direct blog activities, translation activities, social media activities, and proofreading activities;

b. Has access, with the authorisation of the Secretary General, to all the documents of the staff and of the individual activities, to the computer and non computer programs in management mode; to the bank account; to the registered and/or operational headquarters of the Association and to any movable and immovable property of the Association for the performance of the Association's activities. The permanently allowed accesses are all documents at the registered and/or operational headquarters regarding personnel management, bank account, computer and non computer systems, with the exception of the server and domain;

c. Acts autonomously with the authorisation of the Secretary General.

Article 6

TREASURER

In view of the provisions of Article 6 of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Treasurer activities is of the (A)-High type.

The Treasurer has a High Category position:

a. Direct contact with the Steering Committee to which it communicates the income and expenditure of the Association with the aim of avoiding in the short term the risk of having to resort to financing greater than that provided for and must propose and implement the monetary policies of the Association, with the approval of the Secretary General and the President , and define an annual and quarterly financial plan.

b. It has access to all economic-financial documents, bank accounts and IT and non-IT systems relating to the economic-financial activities of the Association and can interact and relate with credit and financial institutions, with the Accountant identified by the Steering Committee.

Article 7

DIRECTOR OF THE SECRETARY AND COORDINATION TEAM

In view of the provisions of Article 7 of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Director of Secretariat and Coordination activities is (A)-High.

The Director of Secretariat and Coordination has a High Category position:

a. Contact with the Presidency, for the management of the activities, agenda, and their documents of the body;

b. Contacting the Steering Committee, drafting the minutes of that body and coordinating their activities;

c. Contact both with the entire Association in order to archive and manage the documents of all the Association's employees and associates and with the outside world to archive and manage the documents relating to the collaborations and agreements stipulated by the Association

d. Has access, subject to authorisation by the President , to all the Association's documents, software and computer and non computer programs useful for the performance of its activities in admin mode; to the bank account; to the registered and/or operational headquarters of the Association and to any movable and immovable property of the Association for the performance of the Association's activities. The accesses allowed permanently are all documents at the registered and/or operational headquarters, bank account, computer and non computer systems used to carry out the Association's activities;

e. Acts autonomously with the authorisation of the Presidency.

Article 8

WEBMASTER

In view of the provisions of Article 8 of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Webmaster activities is (B)-Medium.

The Webmaster has a Media Category position:

a. Contact with the Secretary General, with the approval of the Steering Committee, in order to carry out its activities in the best possible way;

b. Access with the authorisation of the President, or on his behalf the Vice-President, to all the Association's computer documents, software and programs useful for carrying out its activities in admin mode. Permanent access is granted to the computer systems used to carry out the Association's activities.

Article 9

PROJECT MANAGER

In view of the provisions of Article 9 of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Project Manager activities is (C)-Low.

The Project Manager has a Low Category position:

a. Contacts with the General Manager to coordinate project activities with the latter;

b. Contacts with other project managers in order to collaborate and create synergies between the different projects;

c. Access to documents relating to his project, which he may modify only with the consent of the General Manager;

d. Acts with the prior authorisation of the General Manager.

Article 10

DEPUTY PROJECT MANAGER

In view of the provisions of Article 10 of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Deputy Project Manager activities is (C)-Low.

The Deputy Project Manager has a Low Category position:

a. Contact only with the Project Manager, on whom it depends for all the activities of the assigned project. One of the two Deputy Project Managers must replace the Manager in his/her absence;

b. Access to documents relating to his project, which he may modify only with the consent of the General Manager;

c. Acts only with the prior consent of the Project Manager.

Article 11

EXTERNAL RELATIONS

In view of the provisions of Article 11 of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of External Relations activities is (B)-Medium.

The members of the External Relations team have a Media Category position:

a. Contacts with third parties, in case of requests for collaboration with the permission of the President of the Association, the Vice-President and/or the Steering Committee;

b. Contacts with possible stakeholders with whom the Association may collaborate, taking care of the image of the Association itself externally and the relations it has with third parties with whom it collaborates

c. May disclose membership materials, only with the consent of the President of the Association, the Vice-President and/or the Steering Committee.

Article 11a

HEAD OF FOREIGN AFFAIRS - GEOGRAPHICAL AREA

In view of the provisions of Article 11a of Chapter 1 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Head of Foreign Affairs - Geographical Area activities is (B)-Medium.

The Head of Foreign Affairs has a Media Category position:

1. It manages the international affairs of the Association within its geographical area of competence. It is a member of the International Steering Committee as an advisory party and can provide non-binding opinions and recommendations to all members of the Committee for the development of activities.

2. It must also perform these functions:

a. Promoting or developing a network of natural persons or entities able to support the development of the action of Mondo Internazionale within the geographical area of competence;

b. Outline with the International Steering Committee of the Association Mondo Internazionale the objectives and strategies of action to be promoted within the geographical area of competence;

c. Keep the International Steering Committee constantly updated on the developments and evolutions of the activities promoted by Mondo Internazionale within its geographical area of competence;

d. Planning and coordinating the opening of non-profit Associations with the Mondo Internazionale brand within the geographical area of competence;

e. Coordinate the groups and communities that make up the above mentioned Associations;

f. Verify that the activities promoted by the Association Mondo Internazionale and its affiliated Associations comply with the directives of the International Steering Committee and the Steering Committee of the Association Mondo Internazionale, in addition to the Articles of Association, Internal Regulations and laws of the individual States in which such activities are promoted by the Head of External Relations, limited to their geographical area of competence;

g. To organize and plan periodic meetings and briefings between the International Steering Committee of the Mondo Internazionale Association and the Associations affiliated to Mondo Internazionale within their geographical area of competence;

h. To favour an approach based on the principles of international cooperation in order to intensify collaboration between the Association Mondo Internazionale in Italy and its affiliates within the geographical area of competence, to avoid discriminatory conditions for participation in the activities promoted by the community in the geographical area of reference;

i. To support the planning of activities by the President s of the Associations affiliated to Mondo Internazionale through the guidelines and tools provided by the Association Mondo Internazionale and the International Steering Committee.

Article 11b

DEPUTY HEAD OF FOREIGN AFFAIRS- GEOGRAPHICAL AREA

In view the provisions of art. 11b of Chapter 1 in the Single Regulation, approved on 4th September 2019, the confidentiality of the Deputy Foreign Affairs - Geographical Area activities is (B)-Medium.

The Deputy Head of Foreign Affairs has a Media Category position:

a. You may appoint between one and three Vice-President s for External Relations to support your work within your geographical area, subject to the approval of the Steering Committee of the International World Association.

b. It must support the work of the Head of Foreign Affairs in all his functions, without taking his place, subject to written authorisation from the External Relations Manager.

c. The Deputy Head of Foreign Affairs must have access, with the authorisation of the President , or on his behalf, to all documents; to software, computer and non computer programs in admin mode; to the bank account; to safe-deposit boxes; to the registered and/or operational headquarters of the Association and to any movable and immovable property of the Association for the performance of the Association's activities.

d. It assumes full responsibility in the performance of the activities indicated and the burden of reparation towards the Association Mondo Internazionale in case of damage resulting from negligence and/or failure to perform its duties. It is liable civilly and criminally for any illegal behaviour or behaviour in violation of the internal statutory rules committed during the performance of its associative functions and outside of them.

Article 12

SECRETARY AND COORDINATION TEAM

In view of the provisions of Article 12 of Chapter 2 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Secretariat and Coordination activities is of type (A) - High.

The members of the Secretariat and Coordination have a High Category position:

a. Contacts with external bodies, in case of requests for collaboration with the permission of the President of the Association, the Vice-President and/or the Steering Committee;

b. Contacts with the entire Association to coordinate and organise activities, checking the correct progress of projects and collaborations;

c. Contacts with individuals requesting information about the Association or requesting to join the Association, managing the associations and their renewals;

d. May disclose membership materials, only with the consent of the President of the Association, the Vice-President and/or the Steering Committee;

e. May act with the consent of the Presidency and the Steering Committee.

Article 13

DEPUTY DIRECTOR OF THE SECRETARY AND COORDINATION TEAM

In view of the provisions of Article 13 of Chapter 2 of the Single Regulation, approved on 4th September 2019, the confidentiality of the activities of the Deputy Director of Secretariat and Coordination is (A)-High.

The Deputy Director of Secretariat and Coordination has a High Category position:

a. Contacts with the Director of Secretariat and Coordination and with the Secretary General, as coordinator of the Secretary General's Secretariat with the permanent delegation of the Director of Secretariat and Coordination;

b. Contacts with the Secretariat to coordinate activities and with the Steering Committee to be able to draw up the minutes of the Steering Committee in the absence of the Head of Secretariat and Coordination;

c. Has access, with the authorisation of the President , to all the Association's documents, software and computer and non computer programs useful for carrying out its activities in member/manager mode; to the Association's registered and/or operational headquarters and to any movable and immovable property of the Association for carrying out the Association's activities. Permanent access is allowed to all documents at the Association's registered and/or operational headquarters and to the computer and non computer systems used to carry out the Association's secretarial activities;

d. Acts with the prior consent of the Director of Secretariat and Coordination and the Secretary General.

Article 14

REFERENTS FOR THE SECRETARY AND COORDINATION ACTIVITIES

In view of the provisions of Article 14 of Chapter 2 of the Single Regulation, approved on 4th September 2019, the confidentiality of Treasury activities is (B)-Medium.

The Referents for the Secretariat and Coordination activities have a Media Category position:

  1. a. Contacts with the Director of Secretariat and Coordination and with the Deputy Director of Secretariat and Coordination in carrying out the tasks provided for in these Regulations as specified for the secretarial and coordination activities of the Association Mondo Internazionale;
  2. b. Acts with the prior consent of the Director of Secretariat and Coordination and with the Deputy Director of Secretariat and Coordination.

Article 15

SECRETARIAT

In view of the provisions of Article 15 of Chapter 3 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Secretariat activities is of the (A)-High type.

The members of the Secretariat have a High Category position:

a. Contacts with the Secretary General who coordinates the team

b. Access, with the authorization of the Secretary General, to all documents of the Association, computer and non computer software and programs useful for the performance of its activities in member/manager mode; to the registered and/or operational headquarters of the Association and to any movable and immovable property of the Association for the performance of the Association's activities. Permanent access is allowed to all documents at the Association's registered and/or operational headquarters and to the computer and non computer systems used to carry out the Association's Secretariat activities;

c. Acts with the prior consent of the Secretary General.

Article 16

TREASURY

In view of the provisions of Article 16 of Chapter 3 of the Single Regulation, approved on 4th September 2019, the confidentiality of Treasury activities is of the (A)-High type.

The members of the Treasury team have a High Category position:

a. Contacts with the Steering Committee to which it communicates the income and expenditure of the Association with the aim of avoiding in the short term the risk of having to resort to financing greater than that provided for and must propose and implement the monetary policies of the Association, with the approval of the Secretary General and the President , and define an annual and quarterly financial plan;

b. Access to all economic-financial documents, bank accounts and IT and non-IT systems related to the economic-financial activities of the Association and can interact and relate to credit and financial institutions, with the Accountant identified by the Steering Committee;

c. Acts with the prior approval of the Secretary General and the President.

Article 17

PLANNING, BUSINESS PLAN AND EURO-PLANNING TEAM

In view of the provisions of Article 17 of Chapter 3 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Planning, Business Plan and Euro-planning activities team is of the (A)-High type.

The members of the Planning, Business Plan and Euro-planning team have a High Category position:

a. Contacts with the President, the Vice-President and the Secretary General for the search for public and/or private, national and European calls for proposals for the financing of the Association's projects with the aim of outlining the Association's future strategies;

b. Contacts with internal and/or international bodies for the search of national and European public and/or private calls for tenders, for the financing of the Association's projects with the aim of outlining the Association's future strategies;

c. Access to all economic-financial documents to create the Business Plan;

d. Acts with the consent of the President, the Vice-President and the Secretary General.

Article 18

DIRECTOR OF STRATEGIC PLANNING

In view of the provisions of Article 18 of Chapter 3 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Director of Strategic Planning activities is of the (A)-High type.

The Director of Strategic Planning has a High Category position:

a. Contact with the Secretary General and the Steering Committee to draw up the Association's Business Plan and for each project of the Association and to participate in national and international calls for proposals;

b. INTERNAL POLICY ADVISOR

In view of the provisions of Article 23b of Chapter 3 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Internal Policy Advisor activities is of the (B)-Medium type.

a. To support the Legal Advice team in the drafting of the Association's policies for the establishment of internal rules and control bodies;

The Privacy, GDPR and Legal Disclaimers Advisor has a Media Category position:

a. To support the Legal Advisor team in developing and drafting internal regulations regarding the protection of privacy and personal data protection of individuals associated with Mondo Internazionale;

b. Periodically advise the Steering Committee and the Legal Advisor on developments in Italian and European legislation regarding the protection of privacy and the protection of personal data of individuals associated with Mondo Internazionale;

c. Advise the Legal Advisor on the adoption of rules, instruments and the most suitable means to guarantee the protection of privacy and data personal details of individual members by the Association;

d. Check and update periodically, under the supervision of the Legal Advisor, or on his behalf of the Deputy Legal Advisor, the Association's internal documentation on the protection of privacy and protection of the personal data of individual members;

e. Drawing up the documents (releases) necessary to ensure a correct use of audiovisual materials, contents and logos granted to the Association by individual members and/or external bodies and collaborators; furthermore, the Privacy Manager, GDPR and Releasees draw up these documents in order to allow a correct use of the Association's intellectual property and material belonging to the above mentioned categories by individual members, bodies and/or external collaborators.

It avails itself of a Logistics and Events Referent for each International National Association in other countries, who has the task of communicating, coordinating and managing the events of its own Association and assisting the Logistics and Events team at national and international level in the stipulation of sectorial agreements, as well as informing the Logistics and Events Director of any irregularities.

BOARD OF AUDITORS

In view of the provisions of Article 29 of Chapter 5 in the Single Regulations, approved on 4 September 2019, the confidentiality of the Board of Auditors the activities is (B)-Medium.

In view of the provisions of Article 42 of Chapter 7 in the Single Regulations, approved on 4th September 2019, the confidentiality of the Newsletter team activities is (B)- Medium.

The Newsletter Management Team has a Media Category position:

a. Coordinate and manage the sharing of the Association's activities and developments through newsletters, to be sent by e-mail to the list of members at regular intervals;

b. Share the material of the partners of the Associazione Mondo Internazionale within the newsletter, if requested or provided for by collaboration agreements;

c. Collaborate with the Communication, External Relations and Editorial staff to plan an effective activity of sharing the Association's contents through the newsletter;

d. Periodically check the data of the newsletter subscribers and propose to the Director of Communication evaluations of the positive or negative performance of the activity.

MONITORING AND DATA ANALYSIS FOR COMMUNICATION AND STRATEGIC PLANNING

In view of the provisions of Article 43 of Chapter 7 of the Single Regulations, approved on 4th September 2019, the confidentiality of the Monitoring and Data Analysis team activities for Communication and Strategic Planning is (B)-Medium.

The Data Monitoring and Analysis Team for Communication and Strategic Planning has a Media Category position:

a. Collect data useful for the overall evaluation of the Association's communication strategy;

a. Carry out data collection and analysis activities according to the indications provided by the Marketing and Communication Specialist;

b. Draw up documents containing recommendations and non-binding opinions to be submitted to the attention of the Director of Communication and the Director of Strategic Planning, subject to approval by the Marketing and Communication Specialist;

c. To contribute to the definition of the best strategies to be implemented within the Strategic Communication and Planning, Euro-planning, and Business Plan teams to strengthen the activity itself.

Article 42

GRAPHICS AND DESIGN FOR COMMUNICATION

In view of the provisions of Article 44 of Chapter 7 of the Single Regulations, approved on 4th September 2019, the confidentiality of the Graphics and Design for Communication team activities is (B)-Medium.

The Graphics and Design Team for Communication has a Media Category position:

a. Support the Communication team in publishing content on all offline and online channels used by the Mondo Internazionale Association;

b. Use only the software and graphic design platforms recognised and made available to the Association under license;

In view of the provisions of Article 45 of Chapter 7 in the Single Regulations, approved on 4th September 2019, the confidentiality of the Sponsorship and Merchandising team activities is (B)-Medium.

The members of the Sponsorship and Merchandising team have a Media Category position:

a. Contacts with the Sponsorship and Merchandising Manager and the Secretary General for team coordination;

b. Contacts with the Communication team and the External Relations team to plan effective sponsorship of the Association;

c. Access, with the authorisation of the President, to all the Association's documents, software and computer and non computer programs useful to carry out its activities in admin mode. The accesses allowed permanently are computer and non computer systems aimed at carrying out the Association's activities and social network and communication channels of the Association;

d. Acts with the prior consent of the Secretary General.

Article 44

AUTHORS

In view of the provisions of Article 46 of Chapter 7 in the Single Regulations, approved on 4th September 2019, the confidentiality of the Author activities is (C)-Low.

The Author has a Low Category position:

a. Contacts with the Editorial Director and the proofreading team for coordination;

b. Contact with the Project Managers and Deputy Project Managers to plan an effective content creation activity of the Association;

c. Access, with the authorisation of the President, to all the Association's documents, software and computer and non computer programs useful to carry out its activities in admin mode. The accesses allowed permanently are computer and non computer systems aimed at carrying out the activities of the Association and the social network and communication channels of the Association;

d. Acts with the prior consent of the Project Manager or Deputy Project Manager.

Article 45

SCIENTIFIC AND ACADEMIC COMMITTEE

In view of the provisions of art. 65 of Chapter 13 in the Single Regulations, approved on 4th September 2019, the confidentiality of the Scientific and Academic Committee activities is (B)-Medium.

The Scientific and Academic Committee has a Media Category position:

a. It provides non-binding recommendations and opinions to the President and the Presidency of the Mondo Internazionale Association on the dynamics and evolution of the academic activities of the Association's disciplines and on the impact of geo-political, geo-strategic, technological, diplomatic and environmental issues.

Article 46

DEVELOPMENT COMMITTEE

In view of the provisions of Article 68 of Chapter 13 of the Single Regulation, approved on 4th September 2019, the confidentiality of the Development Committee activities is of the (B)-Medium type.

The Development Committee has a Media Category position:

a. It provides non-binding recommendations and opinions to the President and the Presidency of the Associazione Mondo Internazionale on the dynamics and evolution of entrepreneurial, university and social context activities in order to maintain a fruitful collaboration between university bodies and business-financial realities.

Article 47

STRATEGY ADVISOR

In view of the provisions of Article 69 of Chapter 13 in the Single Regulations, approved on 4th September 2019, the confidentiality of the Strategy Advisor's activities is (B)-Medium.

The Strategy Advisor has a Media Category position:

a. Appointment by the Steering Committee on the proposal of the Presidency;

b. He is required to report all activities carried out in his capacity as representative and director of the Association to the President of the Association;

c. It may negotiate on behalf of the Association any agreements and partnerships if it is given the right to do so by the President of the Association by formal notice in writing;

d. It may not sign, sign or in any case make official agreements with third parties as this is a prerogative that remains the responsibility of the President of the Association.

CHAPTER 3

FURTHER PROVISIONS

  1. All the information, activities, and strategies with which each Associate comes to contact cannot be externally disclosed or replicated.
  2. Each Member is required to comply with the Statute, the Regulation and the deliberations of the Association’s organs, which have been set up for the performance of the Association’s activities.
  3. The violations of the Statute, of the Regulation and of the deliberations of the Association’s organs will be pursued in the appropriate venues.
  4. If an Associate Member is unable to carry out his/her own activities, which he/she freely accepted, according to the provisions of the Regulation, then he/she is required to identify a replacement and/or to complete the activity for the purpose not to hinder the Association’s activities, except in exceptional cases identified by Steering Committee.
  5. For the positions of category A and B, the Steering Committee avails itself of the possibility of selecting the persons who will comply with the confidentiality requirements indicated herein, so that the Association's interests can be protected.
